  1. Introduction

Welcome to Advanced Premedia Solutions LLC (“Advanced Premedia Solutions,” “APS,” “Company,” “we,” “us,” or “our”). This Privacy Policy explains how we collect, use, disclose, and protect information when you use our AI-powered software services (the “Service”) based on large language models (LLMs), Agentic workflows and Google Cloud Platform (GCP).

This policy is designed to address the unique considerations of the Service, its use of AI systems, including how data may be processed by these systems.

By using the Service, you agree to this Privacy Policy.

 

  1. Key Definitions

  • “Customer”: The individual or entity that has entered into an agreement with APS to access or use the Service.
  • “Customer Data”: Any data, content, prompts, inputs, files, or materials submitted to the Service by or on behalf of a Customer.
  • “Generated Content”: Any content generated by the Service in response to Customer Data.
  • “Personal Data”: Information that identifies an identifiable individual, or that, alone or in combination with other information, can reasonably be linked to an identifiable individual.
  • “Processing”: Any operation performed on data, including collection, storage, use, or analysis.

3.1 Customer Data (Prompts & Inputs)

We collect and process Customer Data that you submit, including:

  • Prompts, queries, and instructions
  • Uploaded files and documents
  • Metadata, API requests and payloads associated with requests

 

3.2 Account & Business Information

  • Name, email, and organization details
  • Account credentials
  • Billing and payment information

 

3.3 Usage & Technical Data

  • IP address and device identifiers
  • Log data (timestamps, API usage, request volume)
  • Performance and diagnostic data

 

3.4 LLM Interaction Data

We collect structured data about interactions with the LLMs, such as:

  • Token usage and response times
  • Error rates and system feedback signals
  • Safety classifier outputs and abuse-detection signals

We use your information to:

  • Process prompts and produce Generated Content
  • Deliver API responses and application functionality

 

4.2 Improve and Maintain the Service

  • Debug, monitor, and improve system performance
  • Enhance the accuracy, safety, and reliability of the Generated Content

 

Important: We do not use Customer Data to train our AI systems. (see Section 5 for details.).

  1. AI Systems Training and Data Usage

 

5.1 De-Identified Data

We may use anonymized or aggregated data that cannot reasonably identify individual usage to:

  • Improve system performance
  • Develop new features

 

5.2 No Training on Customer Data

We do not use Customer Data — including prompts, uploads, or Generated Content — to train, fine-tune, or otherwise improve any AI model, whether operated by us or by our service providers. Our AI service providers are contractually prohibited from training their models on Customer Data submitted through the Service.

 

  1. Data Retention

  • Customer Data containing prompts, uploads, and generated content is retained for up to 90 days after creation, after which it is automatically deleted.
  • Aggregate, de-identified usage metrics (e.g., credit counts, request timing, billing events) and credit-ledger records are retained indefinitely for billing accuracy, fraud prevention, and service-quality reporting.
  • Account and contact information is retained for the life of the account and for a reasonable period thereafter to satisfy legal, tax, and audit obligations.
  • Logs and diagnostic data are retained for up to 90 days for security and operational monitoring.

 

You may request earlier deletion of your Customer Data at any time, subject to our legal obligations to keep such data (e.g., billing records).

 

  1. Data Security

No real-world system is completely secure. We monitor emerging threats and apply commercially reasonable safeguards, including:

 

  • Encryption in transit (TLS 1.2+) and at rest
  • Role-based access controls (RBAC)
  • Audit logging and monitoring
  • Network and infrastructure security controls

 

Our service providers maintain industry-standard certifications (including ISO/IEC 27001 and SOC 2) — see Section 8 for current attestations.

8.1 Service Providers

 

We share Customer Data only with service providers that support delivery of the Service. Each service provider operates under a written agreement that imposes confidentiality and data-protection obligations no less protective than this Policy.

This list is current as of the Effective Date of this Policy. We intend to publish a dedicated Service Provider page in the future; until then, material changes to this list will be communicated by updating this Policy under Section 16 (Changes to This Policy).

 

8.2 Legal Obligations

We may disclose data if required by law or legal process.

 

8.3 Business Transfers

Data may be transferred in connection with mergers, acquisitions, or asset sales.

  • For Customer Data, we act as a data processor
  • The customer acts as the data controller

We process data only in accordance with customer instructions and applicable agreements.

 

  1. Data Residency

Our Service is hosted on Google Cloud Platform. Customer Data at rest — databases, file storage, and email outbox — is stored in U.S. regions.

 

AI inference requests sent to our model providers are processed at data centers those providers operate. We select providers that contractually prohibit retention or training on Customer Data, regardless of routing, so that the location of an inference request does not affect the protection of your data.

Depending on applicable law, you may have the right to:

  • Access your personal data
  • Request corrections or updates
  • Request deletion
  • Object to or restrict processing
  • Data portability

  1. AI-Specific Disclosures

 

12.1 Automated Processing

The Service uses automated systems to produce the Generated Content, which:

  • May not always be accurate or complete
  • Should be reviewed before use in critical decisions

 

12.2 Sensitive Data

You agree not to submit:

  • Highly sensitive personal data (e.g., health, financial, biometric)
  • Regulated data unless explicitly supported under a separate agreement

 

12.3 Human Review

In limited cases, authorized personnel may review data:

  • To investigate abuse or security incidents
  • To provide support
  • To improve system reliability (subject to Section 5)

 

  1. Third-Party Integrations

Third party integrations can be implemented by us, at your request. Data may be shared with those third-party systems in accordance with your instructions.

 

  1. Cookies and Similar Technologies

 

The Service uses only strictly-necessary cookies and local-storage entries required for authentication and session management. We do not use advertising cookies, cross-site trackers, or third-party analytics. Because we do not engage in the tracking that “Do Not Track” signals are designed to limit, we do not respond to those signals.

 

  1. Communications

 

We send transactional emails — including account, billing, security, and service notifications — that you cannot opt out of while you remain a Customer. We do not currently send marketing email; if that changes, marketing email will include an unsubscribe link and a one-click opt-out.

 

  1. Changes to This Policy

We may update this Privacy Policy periodically. Material changes will be communicated via:

  • Email notification
  • In-product notice

Continued use constitutes acceptance of the updated Privacy Policy.
